It is our intention to make things as simple as possible for anyone who wants to respectfully join our retreat. Our itinerary is an adventure and an immersion in the heart of the flow of a coffee plantation in the Sierra. As we know, traveling can bring unexpected surprises.

Locations, timings, and events are subject to change, and we expect that our travelers support,  compassion and mindfulness.

Conduct and Behavior Agreement for Cuetzalan Coffee & Uxmal Cacao Retreats and Eco Tours

Conduct Expectations:

Participants in the Cuetzalan Coffee Retreat and Eco Tour | Uxmal Cacao Retreat and Eco Tour are expected to:

  • Fully engage in all activities to the best of their ability.

  • Adhere to all program guidelines.

  • Demonstrate behavior that is polite, compassionate, and respectful at all times.

Positive behavior is fundamental to creating a high-quality experience and ensuring the safety and well-being of all participants. We emphasize values such as trustworthiness, respect, responsibility, fairness, caring, and good citizenship. Our primary goal is to provide a safe, secure environment where everyone can thrive.

Rules and Responsibilities:

I understand that I may be sent home at my own expense without a refund for:

  • Theft: Absolutely no stealing or borrowing without prior permission.

  • Vandalism: I am responsible for repair costs for any damages incurred to property.

  • Illegal Activity: The use of illegal drugs (including marijuana), excessive abuse of alcohol, and other such offenses are strictly prohibited. Those engaged in illegal activities will be turned over to the proper authorities.

  • Disruptive Behavior: Emotional outbursts, yelling, screaming, crying, incessant complaining, or displaying dissatisfaction in anger or rage is prohibited.

  • Bullying: Teasing, hurting, or bullying anyone, or using language, gestures, or actions that harm others is not tolerated. Disciplinary action will vary based on the degree of the offense and will be determined by the program hosts and staff. This may result in dismissal from the program at your own expense.

  • Inappropriate Sexual Behavior: Any behavior that violates the rights of others, particularly when disrespectful regarding a person’s gender, race, age, sexual orientation, religion, national origin, disability, or appearance, is prohibited.

I am responsible for:

  • Personal Belongings: Keeping track of my belongings. Valuables, such as expensive jewelry and electronic devices, should be left at home. Program hosts, staff, or other participants are not responsible for any lost or missing items.

  • Luggage: Carrying my own luggage. Program hosts, staff, or other participants are not responsible for carrying my luggage.

  • Dress Code: Dressing comfortably and casually, yet neatly, appropriately, and respectfully according to each occasion. Failure to do so may result in being kindly asked to change clothes.

  • Observing Retreat Center Rules: Violators of poor behavior will be sent home at their own expense without a refund.


These rules are NOT subject to interpretation, and each program participant is expected to follow them without exception.

Our Contract

All bookings are made with Suddha Prem and Be a Conscious Traveler.

By booking a trip with us you are deemed to have agreed to these Booking Conditions (which constitutes the entire agreement between you and us). Your booking will be accepted by us on this basis. The services to be provided are those referred to in this document in relation to the retreat and those provided to us by Cuetzalan Tosepan Kali Cooperative (THE RESORT), the land operator for this eco tour.

 

International flights: the operation of these flights is subject to the foreign governments involved granting landing rights for the flight.

Responsibility: Operator will organize and administer this group. Operator acts only as the agent for any transportation carrier, hotel, ground operator, or other suppliers of services connected with this tour (“other provides”), and the other providers are solely responsible and liable for providing their respective services. The passenger tickets in use by the carriers shall constitute the sole contract between the carriers and the passenger; the carriers are not responsible for any act, omission, or event during the time tour participants are not aboard their conveyance. Operator shall not be held liable for (A) any damage to, or loss of, property or injury to, or death of, persons occasioned directly or indirectly by an act or omission of any other provider, including but not limited to any defect in any aircraft, watercraft, or vehicle operated or provided by such other provider, and (B) any loss or damage due to delay, cancellation, or disruption in any manner caused by the laws, regulations, acts or failures to act, demands, orders, or interpositions of any government or any

10 subdivision or agent thereof, or by acts of God, strikes, fire,food, war, rebellion, terrorism, insurrection, sickness, quarantine, epidemics, theft, of any other cause(s) beyond their control. The participant waives any claim against Operator for any such loss, damage, injury or death. By registering for this tour , the participant certifies that he/she does not have any mental, physical, or other condition or disability that would create a hazard for him/herself or other participants. Operators reserves the right in their sole discretion to accept, decline to accept, or remove any participant on tours, and reserves the right without notice to withdraw any part or all of the trip and to make such changes as may be necessary. Operator shall not be liable for any air carrier’s cancellations penalty incurred by the purchase of a non refundable ticket to or from the first or last destination of the tours.

Suddha Prem is the organizing agent for this retreat.

2. Reservations and payments information

Before booking, all prospective participants are required to complete our Conduct and Behavior Agreement.

This agreement ensures that everyone who joins us is dedicated to maintaining the high standards of behavior that make our retreats exceptional.

Once you’ve completed the agreement and signed the contract we’ve reviewed your application, you will be notified of your acceptance.

Only then will you be invited to finalize your booking.

 

To reserve your place, complete the reservation form/waiver and return it with:

  • A non-refundable $1,000 deposit will hold your space.​

Early Bird Investment​ | Sign up between November 30th – December 30th 2024.

$4,500 per guest | single occupanc​y.

 

Standard Investment

$5,000 per guest | single occupancy.

  • Full payment due by January 15th, 2025.

  • Travel Health Insurance is required.

  • The deposit can be made by PAYPAL or through our secure booking system.

  • Credit card payments will be subject to a 2.75% fee.​

3. Cancellations and Refunds

All request for refunds must be sent to us in writing via e-mail Cancellation will become effective as of the date of the postmark or e-mail receipt.

If for some reason you decide to leave during the retreat/tour, no refunds or credit will be offered for any reason at all. As an additional reminder, the initial deposit of $1000 is not refundable.

 

​​​a) Once the ticket is done, it is non refundable/non transferable at any time of the cancellation, and no value after departure date. Changes may have a fee plus difference on price.

 

b) Leaving this tour in progress, for any reason whatsoever, will not result in a refund, and no refunds will be made for any unused portions on this tour. Operators reserves the right to cancel any tour because of inadequate enrollment that makes the tour economically unfeasible to operate.

 

c) We strongly recommend trip cancellation insurance, applications will be sent to you upon registration. Insurance is important protections can save your money if you are forced to cancel.

 

d) Baggage and personal effects are at all times the sole responsibility of the client or participant.

 

Itinerary changes: The itineraries and staff are subject to modification and change by operator. Every reasonable effort will be made to operate this tour as planned; however, should unforeseen world events and conditions require our itinerary to be altered, we reserve the right to do so for the safety and the best interest of the group.

4. Passport and Visa

You must carry a valid passport and have obtained all of the appropriate visas, permits and certificates for the countries in which you will visit during your trip. Your passport must be valid for 6 months beyond the duration of the trip. It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your trip. We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.

5. Your Details

For us to confirm your travel arrangements you must provide all requested details with the balance of the trip price. Necessary details include full name as per your passport, date of birth, nationality, passport number, passport issue and expiry date and any pre-existing medical conditions you have which may affect your ability to complete your travel arrangements. Your booking cannot be confirmed without provision of these details.

6. Travel Insurance

Travel insurance is mandatory for all travelers heading to THE RESORT and, if purchased, should be taken out at the time of booking.

Your travel insurance should provide cover against personal accident, death, medical expenses and emergency repatriation with 

all recommended minimum coverage of $200,000USD. We also strongly recommend it cover cancellation, curtailment, and all other expenses that might arise as a result of loss, damage, injury, delay or inconvenience.

We shall have no liability for loss, theft of or damage to baggage or personal effects. Personal belongings lost or stolen while unattended by the client in public lounges or other public areas, whether on board a vessel, train, bus, or other mode of transportation, publicly owned or operated by affiliated tour operators or elsewhere, are not reimbursable. Losses due to ordinary wear and tear, and other acts of God are not reimbursable. We cannot accept responsibility for and in no event shall be liable for loss or damage of valuables or other articles left in or on facilities used by us such as hotels, home stays, vessels, expedition vehicles, or any other mode of transportation.

7. Inclusions

The package cost of your Suddha Prem eco-travel includes: all accommodation as listed in the Program
all transport listed in the Program
all eco tours listed in the Program

all organic meals as listed in the Program
the services of a guide as described in the Program.

8. Exclusions

The package cost of your Suddha Prem eco-travel does not include:

  • International or Internal flights

  • Optional and additional accident/baggage/cancellation insurance.

  • Passport and Visa fees

  • Excess baggage charges

  • Travel insurance

  • Personal Expenses (Mini-bar, Personal Phone Calls, Laundry services) All beverages not mentioned in the description for this tour

  • Any tips or gratuities not specifically mentioned in the description for this tour

  • Drinks and alcoholic beverages

  • Optional activities and sightseeing not mentioned in this tour

  • and all personal expenses

  • a la carte meals and drinks

9. Cancellation by Traveler

All monies received, above the non-refundable deposit, will be refunded if the cancellation is made 60 or more days prior to scheduled arrival date. If the client cancels less than 60 days in advance of the arrival day, or if the client does not show up, or leaves early for any reason no credit or refund is available.

 

Different fees may apply to airline tickets depending on the carrier being used. You are strongly advised to take out cancellation insurance at the time of booking which will cover your cancellation penalties in some situations. 

 

If you need to cancel your spot, deposits are refundable, less a cancellation fee, but based on the following schedule and if the cancellation notice is received:

  • On or before December 15, 2024:

If you cancel more than 90 days before the Cuetzalan Retreat start date, and you have payed in full, 100% of your remaining balance will be refunded, except your initial deposit of $1000 that is not refundable.​

  • From Dec 15 to January 15, 2024:

More than 60 days before the retreat, and you have payed in full, 40% remaining balance will be refunded for cancellation, except your initial deposit of $1000 that is not refundable.​​​​

  • ​After February 15, 2024:

No Refund if less than 30 days before the retreat. The initial deposit of $1000 is not refundable.

 

​​​Again, cancellation insurance may reimburse you for early departure under certain circumstances.

10. Cancellation by THE RESORT reserves the right to cancel any program or event at any time for any reason. In this event, the client is given a complete refund. However, THE RESORT is not responsible for any expenses or damages incurred as a result of event/program cancellation including preparation costs, airline tickets, travel documents or other expenses. Again, travel insurance is always recommended.

 

11. Flexibility

The itinerary provided for each trip is representative of the types of activities contemplated, but it is understood that the itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events. Furthermore, all yoga is done at the sole discretion of each individual yoga instructor and follows their individual style. Certain circumstances may not allow for all yoga sessions as outlined in the Itinerary. All travelers should familiarize themselves with their tour instructor's style and background as listed in the Teacher section of each trip.

12. Acceptance of Risk

THE RESORT is dedicated to ensuring the safety of all its guests, although all clients must assume the risk inherent in travel. Certain locations are remote and require additional travel time away from city centers and towns; as such, medical attention may not always be readily available. You will be visiting places where the political, cultural and geographical attributes present dangers and physical challenges greater than those present in our daily lives. We use information from government foreign departments and reports from our contacts in assessing whether the itinerary should operate. However, it is your own responsibility to acquaint yourself with all possible relevant travel information and the nature of your itinerary. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you assume the personal risks involved with such travel.

13. Limitation of Liability

We contract with a network of CONSCIOUS companies to assist in the running of our eco-trips. The tour operator, THE RESORT, has their own booking conditions, and you will be bound by those as far as the relevant transport provider is concerned. Some of those conditions may limit or exclude liability on the part of the relevant transport provider or other supplier, and they are often also subject to various international conventions. Copies of such conditions may be requested of us. Our liability will be limited to and shall not exceed that of its suppliers. We are not responsible for the acts and omission of THE RESORT. To the fullest extent permitted by law:

any liability for any loss, death, injury or damage which you may suffer (directly or indirectly) in connection with or arising out of your participation in a trip, or any breach of the Booking Conditions, is excluded;

you release us and our officers, employees, agents and representative from any liability and expressly waive any claims you may have against us arising out of or in connection with your participation in a trip.

 

14. Optional Activities

Optional activities not included in the trip price do not form part of the trip or this contract. You accept that any assistance given by your tour or yoga leader or local representative in arranging optional activities does not render us liable for them.

15. Photos and Marketing

You consent to us using images of you taken during the trip for advertising and promotional purposes. You grant us perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.

16. Privacy Policy

Any personal information that we collect about you may be used for any purpose associated with the operation of a trip or to send you marketing material in relation to our events and special offers. The information may be disclosed to our agents, service providers or other suppliers to enable us to operate the trip.

17. Arbitration

You agree that any dispute relating to this agreement, our brochure, our web site, any other literature concerning your trip, the trip itself or any claim for damages, injury or death which occurs during or in connection with the trip shall be resolved exclusively by IFFTA, The World Travel Dispute Center, Inc. Such proceedings shall be governed by California law. You waive the right to rely on any state law or statute which creates an exception to enforcement of the requirement that disputes be resolved pursuant to arbitration. You also waive the right to demand a jury trial in connection with any action or legal proceeding arising out of this agreement.

18. Applicable Law

The laws of California, USA govern these Booking Conditions and any disputes in connection with a trip or these Booking Conditions must be initiated in the courts of California, USA.
